Function description

This position will provide support to the Human Resources & General Affairs Department This demanding role would suit an experienced administrator who is comfortable with dealing with a heavy and varied workload. The successful candidate will be the main point of contact between internal and external customers and suppliers, maintaining records, handling travel arrangements and undertaking general admin. The role holder must have strong multi tasking skills and the ability to communicate at all levels. Key Responsibilities include; •Booking Staff Travel, accommodation and taxis. •Maintaining the SAP Purchase ordering system for HR, ensuring all purchase orders are entered, coded correctly and sent to the correct Manager for authorisation; handling deliveries and collections. •Managing and controlling stock of supplies and equipment: stationery, refreshments and general supplies as well as maintenance of Supplier list held on Access database. •Liaising with HR/Management on ordering business cards and all printed stationery. •Local Health & Safety Co-ordinator; Work with UK H&S Co-ordinator to ensure that the company complies with Health and Safety legislation. •Liaison with maintenance, repair and other service companies for cleaning, vending, lighting, airconditioning and ventilation, recycling, refuse, plants, water supply and hygiene, water coolers and heaters, flags, electronic white boards, office furniture, storage cupboards, kitchen storage, general decorations, electrics, water services, pictures & wall boards. •Main contact with CPD Security direct and via site supervisor for all alarm activations, guard shift patterns and holidays. •Maintain Security Access Card system; ensuring all eligible employees have access cards and ensuring return and deletion of cards when employees leave. Maintain master keys to the 1st floor facilities, desks and cupboards. •Overseeing the running and stock levels of photocopiers, fax machines and refreshment points, including toners, cartridges etc. •Set up of meeting rooms and breakout areas for meetings, inductions and training. •Maintaining stock levels in kitchens for vending machines, cutlery and crockery supplies. •Some reception cover and other administrative duties will be required during peak times or sickness absence, such as filing and general HR project work. •Maintaining of post-room equipment: franking machines, faxes, maintain replacement bulbs for all site projectors. •Liaising with the Facilities Management company - DTZ on Building 1 landlord issues and The Heights estate issues. •Liaising with DTZ for maintenance and repair of toilets, doors, floors, lifts, common areas, cleaning, external lighting, external grounds cleaning, use of sun terrace and courtyard. •Liasing with Sony concerning “community” bus transport charges.

There is a fundamental need for the job holder to travel within the United Kingdom for the fulfilment of this role therefore a valid UK driving licence is an essential requirement.
